When writing your cover letter, it’s important to communicate the information that defines you in the right way. A strong structure for your cover letter can keep your points organized so the hiring manager can quickly and easily see what sets you apart.

Follow these seven steps to help you write your customer service cover letter.

Step 1: Write a title and header

The title of your cover letter should include your name and be specific to the job you’re applying for and the company you’re sending it to.

For example, you can format the title of your cover letter like this:

[Position X] : [Company Y] | [Name] or
Customer Service Representative: Tutone Ink | Jenny Heath

Next, create a header to add your contact Information:

  • Your full name
  • Phone number
  • Your email address
  • Date
  • Links to your professional social media profiles (LinkedIn)
  • Personal website (optional)

Make sure your email address and any social media links you include are professional. Listing your “partyanimal29@aol.com” email address from 2003 doesn’t make the best impression on a hiring manager.

Providing your (up-to-date) LinkedIn profile is all you need when it comes to social media—unless another social media profile showcases skills that align with your desired role.

Step 2: Start with a greeting

Start your customer service specialist cover letter by addressing the hiring manager by their name—personalization helps you stand out more, especially if you need to do research to find the name.

If the job posting doesn’t include the hiring manager’s name, you can check out the company’s website—or pop over to LinkedIn and search for the company. From there, you can see the employees who are on LinkedIn to find the most relevant contact.

If you don’t find that information, try using something like “Dear Hiring Manager” or “Dear Recruiting Manager.”

Step 3: Grab attention with your introduction

Following your greeting, the first paragraph should do four things. You’ll want to:

  • Introduce yourself
  • Show your interest in the position
  • Explain why you’re a good fit
  • Say it in a compelling way

The last point is the most important and can feel the most challenging. But simply offering a statement of your experience and your expertise—and then backing it up with some proof—can raise eyebrows.

Step 4: Impress with your second paragraph

Every job requires a range of skills. This is why it’s important to show you’re a well-rounded candidate. Describe how your past experiences evidenced your soft skills, like your ability to problem solve and collaborate with others.

Also give examples of your hard skills, such as experience with specific customer service software like Zendesk.

  • Grab attention by highlighting two or three of your top achievements
  • Include data and stats to show the impact of your work
  • Mention the most relevant hard and soft skills
  • Summarize your work experience

Step 5: Relate to the company in the third paragraph

  • Make it scannable
